Know which vehicles are owing before they are.
List your vans and utes with their number plates and when each WoF and rego runs out. Summit Hub shows what is expired or due soon, and emails the person you choose before it lapses. You type the dates in yourself.
Every vehicle, with the two dates that matter.
Add a vehicle with its number plate, then the date its WoF expires and the date its rego expires. Make, model and year are there if you want them. Pick who looks after the vehicle, and that person gets the reminders.
- Owing vehicles first. The list puts expired vehicles at the top, then the ones due within 30 days. Each date has a printed label, so you never rely on colour alone.
- A card on the owner dashboard. Owners see how many vehicles are expired or due soon, and the worst few, as soon as they open the dashboard. The card stays hidden until you have added a vehicle.
- Renew, then update the date. After a renewal, edit the vehicle and enter the new date. The status clears and the reminders start again for the next cycle.

An email before it lapses, not after.
Summit Hub checks every morning. Each vehicle's WoF and rego get a reminder 30 days before, 7 days before, and on the day it expires or after.
- Each reminder once. You get one reminder at each point, for each date. A vehicle added when its WoF is already 3 days out gets the 7-day reminder, not three at once.
- To the right person. The reminder goes to the person you picked for that vehicle. If you picked nobody, or that person has left, it goes to your owners.
- In the bell and by email. Each reminder appears in the notification bell and is emailed. Anyone can turn the emails off from My Account.
Typed in by hand, kept for your team.
Fleet is a list you keep, not a lookup. Summit Hub does not check the vehicle register for you, so the reminders are only as good as the dates you enter.
- Staff only. Your office staff and owners can see and edit the list. Clients and field crew cannot see it.
- No tasks are created. Reminders arrive as notifications and emails. They don't add to-dos to anyone's list.
