Deleting a deal

Who can use it. Staff and owners. Field users and clients can't see the button or use it. Clients are never told a deal was deleted; it simply stops existing for them. It may not be switched on for your business yet; if you can't see the button, give us a yell.

What it's for

A duplicate. A test job someone made while learning the app. An enquiry that turned out to be a wrong number. Until now the only thing you could do with one of those was drag it to Lost and live with it cluttering the board forever.

This is for genuine mistakes. For a job that was real and didn't go ahead, move it to Lost instead: you keep the quote, the history and the numbers, and it stays out of your way.

How to use it

  1. Open the deal you want to gone.
  2. Click Delete deal, up at the top next to Move to pipeline.
  3. Read what's about to go. The dialog shows a 4-digit code; type it into the box.
  4. Click Delete deal in the dialog.

The code is different every time you open the dialog, so it can't be guessed or remembered from last time.

You land back on the pipeline board, on whichever pipeline you came from, with the deal gone from it.

What goes with it

Everything that only ever belonged to that deal:

  • its quotes, and every line, category and photo in them
  • its notes, its links to contacts and its variations
  • its schedule and any requests for quote you sent to subbies
  • signed documents and e-signature requests raised against it
  • files uploaded onto it
  • its cost tracking: progress, overrides, adjustments, saved Excel versions, and its links to Buildxact and Xero
  • its client portal. If this deal had a portal, the client's page for it disappears at the same time. There is no way to leave the portal up for a deal that no longer exists.

What survives

  • Contacts. The people themselves stay in your client book, only their link to this deal goes. A contact who was on other deals or portals is untouched.
  • To-dos. A to-do that was linked to the deal is kept: it just stops being attached to anything. You'll still find it in To-Dos.
  • The history. The deletion itself is recorded in Activity history (*"Alex deleted 12 Alba Rd"*), and everything that deal's history already said stays readable. Deleting a deal doesn't rewrite the record of what happened to it.
  • HubSpot, Xero and Buildxact. Nothing is deleted in any of them. This removes the deal from Summit only. If your deals come across from HubSpot, be aware that a deal you delete here can come back the next time deals are imported, since HubSpot has no idea you deleted it.

When it won't let you

"This deal has an accepted quote." A quote the client has accepted is a record of what you agreed with them, and Summit won't let a deal delete take one with it. Revert or remove the quote first if you genuinely mean to, or, much more likely, move the deal to Lost instead.

"This deal was deleted while the version was being saved." Someone else deleted the deal while you had a Cost Tracking version part-way through saving. Nothing was stored, and the workbook that had already been built is discarded: the deal is gone, so there is nothing to attach it to. If that wasn't meant to happen, ask whoever deleted it; the deletion is in Activity history with their name on it.

Before you click

This cannot be undone from inside the app. There's no bin, no restore, no undo. The typed confirmation is there because that's true. If you delete something you needed, stop and get in touch straight away. It may be recoverable from a backup, but only for a limited window and only by us.
