The Privacy Policy

How Summit Hub handles personal information is set out in our privacy policy. There's a Privacy link in the footer of every public page, so you can always get back to it, and the page itself is at summithub.co.nz/privacy.

It sits alongside the Terms of Service: the terms are the commercial agreement, the privacy policy is the detail of what happens to personal information. When you create an account you agree to both at once — the sign-up form's tick box names both documents and links each of them, and we record which version of each you accepted.

The bit that matters most: two kinds of information

Summit Hub holds two kinds of personal information, and which one you're asking about changes who you talk to.

Information about you as an account holder. Your name, your email address, your sign-in and security details, your billing records, and what you did in the app. Summit Hub holds that, and the privacy policy is our promise to you about it.

Information about your clients. The homeowners, site contacts, suppliers and trade partners you enter or sync into Summit Hub belong to *your* business. We store and process them on your behalf to run the service for you, and we don't use them for anything else. If one of your clients asks to see what's held about them, you're the one who answers — everything you need is in the app, and we'll help you assemble it if you ask.

So if you're a homeowner who got a portal invitation from your builder: your builder holds your project information and their privacy policy covers it. Ask them. Summit Hub holds the sign-in details that let you into their portal, and our policy covers those.

What's in it

  • What we collect about account holders and their teams, and where it comes from
  • What we use it for — and the things we don't do (no selling, no advertising trackers, no training AI models on your account)
  • Every provider we share information with: hosting, Resend for email, Stripe for payments, Anthropic for the AI assistant, Sentry for error reports, plus the systems you connect yourself
  • What happens when information goes overseas
  • How long we keep things, including after an account closes
  • How to ask to see or correct your information, and how long we have to respond
  • What we do if there's a privacy breach
  • How to complain to the Office of the Privacy Commissioner if we don't sort it out

Asking about your information

Email [email protected]. We'll check you are who you say you are, and respond within 20 working days — that's what the Privacy Act 2020 requires. Most of your own account details you can just change yourself in Settings.

If we say no to a request, we have to tell you why, and tell you that you can take it to the Privacy Commissioner. Complaining there costs nothing.

When the policy changes

Each version carries a version number and a "last updated" date at the top of the page. If a change materially affects how we handle information about you, we'll tell you by email or in the app before it takes effect.
