Connected workflows

Notify whoever answered, or the people on the job

Who it's for: anyone who builds workflows (Settings → Workflows).

A Notify team or Send email step used to reach only the people you picked by name. That works for "tell the office", but not for "tell whoever said the deposit was paid" or "tell this job's site lead", because those people are different on every deal.

What it does

On a Notify team or Send email step, under the names you pick, the Also notify, worked out per deal section adds people the workflow looks up for each deal at the moment the step runs:

  • Whoever last answered a Details form field. This is the person whose name shows beside that answer on the deal's Details form. Click + Add whoever last answered a field and choose the field. You can add more than one field.
  • People on this job: Everyone on the job, just the Site leads, or just the Field crew. These are the people added to the deal's job team.

You can use these on their own, or together with people picked by name. A person who matches more than once still gets one email.

What happens when nobody matches

If nobody has answered the field yet, or nobody is on the job, that rule adds nobody. When the step has nobody else to send to, it is skipped, not failed: the workflow carries on to the next step. The enrollment's journey says why, for example "Whoever answered deposit_paid: nobody has answered yet".

Only current members of your team are ever notified. If the person who answered has since left your team, been removed, or is a client, they are not emailed, and the journey says "no longer on your team".

Good to know

  • The answer is looked up when the step runs, not when the deal enrolled. If someone changes the answer during a wait step, the later step notifies the new person.
  • For a workflow that enrolls contacts, the rules read the contact's most recent deal.
  • If the person who changed the answer is the person the step notifies, they are notified about their own change.
  • Archiving a Details field does not break a workflow that uses it.
  • This section only appears once per-deal recipients are switched on for your account. If they are switched off later, steps that already use them show the rules but do not use them, and send only to the people picked by name. A workflow that still has these rules can't be saved while they are switched off; ask for them to be switched back on to change it.
  • A step can have up to 10 of these rules.
